Terms of Service

These Terms of Service ("Terms") apply to your use of the Vhim Buy website and to every sourcing request, quotation, order and related service you receive from Vhim Buy ("Vhim Buy", "we", "us" or "our").

By using our website, submitting a request or approving a quotation, you agree to these Terms. If you are acting on behalf of a business or organisation, you confirm that you are authorised to accept these Terms on its behalf.

Vhim Buy is a sourcing, procurement and shopping solutions business under Vhim Group. We help individuals, entrepreneurs, retailers and businesses find, buy and import products, particularly from China to Ghana.

Vhim Cargo is a sister company under Vhim Group that provides warehousing, consolidation, repacking and shipping services. Vhim Buy and Vhim Cargo are separate businesses, each responsible for its own services.

Depending on your request, our services may include:

• Product sourcing: finding products that match your specifications, budget and quantity.
• Procurement and purchasing: communicating with suppliers, comparing quotations and placing orders on your behalf.
• Quality control and supplier verification: where requested and agreed.
• Online shopping, catalogues, promotions and preorder campaigns.
• Shipping coordination: arranging for goods to be handed to Vhim Cargo or another carrier.

The exact services included in your order are those stated on the quotation you approve.

Customer accounts are created by the Vhim Buy team; there is no public self-registration. You must keep your login details confidential and tell us promptly if you believe your account has been accessed without permission.

You are responsible for activity carried out through your account. We may suspend or close an account that is used in breach of these Terms.

When you submit a request, we will review it and, where we can help, prepare a quotation. Quotations are based on the information you provide and on supplier prices and exchange rates available at the time.

• Each quotation shows its validity period. After that period, prices and availability may change and a new quotation may be needed.
• Quotations itemise the main costs, which may include product cost, our sourcing service fee, inspection fees and a shipping estimate.
• Shipping amounts are estimates unless the quotation says otherwise; the final shipping charge is confirmed by the carrier.
• Product images, descriptions and specifications are provided by suppliers. We take reasonable care to check them but cannot guarantee that they are complete or error-free.

An order is confirmed only when you approve a quotation and we receive the payment required by that quotation. Until then, we are under no obligation to purchase goods for you.

Once an order is confirmed, we will place it with the selected supplier and keep you informed of its progress. If a supplier cannot fulfil the order as quoted, we will contact you to agree an alternative, a revised quotation or a cancellation.

Prices are shown in the currency stated on your quotation. Where supplier prices are in another currency, the exchange rate used will be shown on the quotation.

• Some orders require a deposit before purchase, with the balance due before goods are released or shipped. The amounts and due dates are shown on your quotation or invoice.
• Payments must be made using the methods we make available. Please only pay using payment details provided by Vhim Buy through our official channels.
• We may pay suppliers on your behalf using the funds you provide for your order.
• If a payment is late, we may pause your order until it is received. We are not responsible for delays or price changes caused by late payment.

Products are manufactured and supplied by third-party suppliers. We act as your agent in sourcing and purchasing them and do not manufacture the goods ourselves.

Any manufacturer or supplier warranty applies as provided by that manufacturer or supplier. Where a warranty is available, we will reasonably help you to make a claim.

Where inspections are requested and agreed, we will check goods against the agreed specifications before they leave the supplier or warehouse. The scope of the inspection is set out in your quotation.

Inspections reduce the risk of receiving incorrect or defective goods, but they cannot eliminate every risk, for example faults that only appear after extended use.

Where shipping is part of your order, we coordinate it with Vhim Cargo or another carrier agreed with you. Shipping, warehousing and collection are also governed by the carrier's own terms.

Delivery timelines are estimates. They depend on suppliers, shipping method (sea or air), carriers, customs clearance and other factors outside our control.

You are responsible for making sure the goods you order can legally be imported into, and used in, your destination country. Unless your quotation states otherwise, customs duties, taxes and clearance charges are not included in our prices.

We may refuse or cancel any request that we reasonably believe involves goods that are illegal, restricted, counterfeit or unsafe.

You must not use our services to source or import:

• Goods that are illegal or prohibited in China, Ghana or any country they pass through.
• Counterfeit goods or goods that infringe someone else's intellectual property.
• Weapons, explosives, hazardous materials or other dangerous goods, except where lawfully permitted and expressly agreed.
• Goods that you do not have the right to buy, sell or import.

Cancellations and refunds are handled under our Refunds & Cancellations Policy, which forms part of these Terms.

We will provide our services with reasonable care and skill. Nothing in these Terms limits any rights you have under the laws of Ghana that cannot be excluded.

• We are not responsible for losses caused by suppliers, carriers, customs authorities or other third parties, or by events outside our reasonable control.
• We are not responsible for indirect or consequential losses, such as lost profits or lost business opportunities.
• To the extent permitted by law, our total liability to you for any order is limited to the amount you paid us for that order.

The Vhim Buy name, logo and the content of this website belong to Vhim Buy or Vhim Group. You may not copy or use them for commercial purposes without our written permission.

We may update these Terms from time to time. The version that applies to your order is the version in force when you approved your quotation. The date at the top of this page shows when the Terms were last updated.

These Terms are governed by the laws of the Republic of Ghana. We will always try to resolve any concern with you directly first; if that is not possible, disputes will be handled by the courts of Ghana.
